first draft - suggested itinerary & quote |
On
receiving your enquiry we*
will immediately acknowledge the receipt thereof. We will
then compile a suggested itinerary*
and quote based on the information you provided. We aim to
do this within 24 to 48 hours. |

fine-tuning your itinerary (if required)

Although
we're quite good at giving our clients what they want, most
still want to make minor changes on receiving the first draft
of the suggested itinerary*
and quote.
This is where

suggested itinerary*
as many times as it takes to satisfy your needs. |

final acceptance of tour & payment instructions |
Once
you're satisfied with your itinerary*
and tour price we*
will finalise a payment schedule with you. You are under no
financial obligation to us before your final acceptance of
the quote. On our side we will not commit any expenditures
to your tour before the receipt of your 25% deposit.
Our
terms and conditions* for custom tours requires a 25%
deposit 65 days before arrival. Should we finalise the itinerary*
less than 65 days before arrival the deposit will be payable
immediately. The balance of your tour price will be payable
45 days before arrival. Once again, should we finalise your
itinerary*
less than 45 days before arrival the full tour price will
be payable immediately. We are flexible and can negotiate
different payment terms should you request us to do so.

payments & pre-tour documentation |
On
receipt of your 25% deposit we will finalise all bookings
and other arrangements for your tour. 21 Days before your
arrival a pre-tour
pack* containing pre-tour documentation
will be couriered to you. Your tour pack will include a comprehensive
description of your daily itinerary*,
additional background info, what to pack, important info regarding
traveling in the country or region you have chosen and details
of all the arrangements made for your tour.
Self-drive*
clients
also receive a road map on which the touring route is marked,
detailed directions and contact telephone numbers for all
accommodation and other service providers (in the case of
guided tours your tourist
guide* will look after all these kind of arrangements).
Unless
requested otherwise we create a section on our website dedicated
to your tour. It is in fact an online copy of your pre-tour
documents*. Once we inform you that your pre-tour
documents* are enroute to you by courier you can track
the progress of the package, couriered through UPS, with a
real-time tracking facility built into your dedicated tour
pages. During your tour friends or family can find contact
details for you or look up your itinerary*

arrival, meet & greet, tour management / support |
A
representative from Africa
Deluxe Tours*, usually one of our directors, meet and
greet all arriving customers at the airport. There we enjoy
coffee or other drinks with you and ensure that any last minute
enquiries from your side are sufficiently dealt with.
While
clients on guided
tours* then start their tour under the guidance of their
tourist
guide*, self-drive*
clients
are escorted by our representative to an airport car
rental* agency to pick up their vehicles. If necessary
the representative will lead self-drive*
clients
in his/her vehicle to their nearby hotel or onto the main
road leading to their first destination.
Tourist
guides* are at the service of clients taking guided tours
24-hours a day. For self-drive*
clients we provide a 24-hour back-up
service through a hotline telephone number. Self-drive*
clients, who do not have their own cell phones with international
roaming activated, are encouraged to
make use of a cheap cell phone rental offer which establishes
easy hassle free communications with our office. We offer
clients much more, all of which will be included in your pre-tour
documentation*. |
